The purpose of this policy is to inform users, members, volunteers, donors, partners and applicants (hereinafter “Data Subjects”) about how their personal data is collected, processed, stored and protected by the OMOLEMBA INTERNATIONAL association.

It applies to all data processing operations carried out via the omolemba.org website, as well as to offline interactions within the framework of our missions.

The president of the association, Mrs. AKUTSHU OMELOHO Adèle, is the legal representative of the data controller.

In the course of its activities, OMOLEMBA INTERNATIONAL may collect the following categories of data, directly from you or automatically during your browsing:

• Professional or associative data: CV, cover letter, skills, volunteer experience;

• Communication preferences: newsletter subscription, stated interests.

Personal data is collected for specified, explicit and legitimate purposes, and is not further processed in a manner incompatible with these purposes.

• Managing contact and information requests (legal basis: legitimate interest);
• Managing newsletter subscriptions and sending communications (legal basis: consent);
• Reviewing and monitoring volunteer applications (legal basis: pre-contractual measures);
• Processing and monitoring partnership proposals (legal basis: legitimate interest);
• Improving the website, its security and user experience (legal basis: legitimate interest);
• Compliance with legal and regulatory obligations (legal basis: legal obligation).

The collected data is exclusively intended for authorized members of the board and the operational team of OMOLEMBA INTERNATIONAL, empowered to process it by virtue of their functions.

It may be communicated to our technical subcontractors (host, database provider, newsletter tool) only to the extent strictly necessary for the performance of their services. OMOLEMBA INTERNATIONAL ensures that these subcontractors provide sufficient guarantees regarding security and confidentiality.

No data is sold, rented or transferred to third parties for commercial purposes. Currently, no data transfer outside the European Economic Area is carried out. In the event of any future transfer, prior information will be provided.

The website is hosted by Vercel Inc., located at 440 N Barranca Avenue #4133, Covina, California 91723, USA. Vercel implements security measures compliant with international standards.

The functional and technical data of the site, particularly that related to forms, may be stored on a secure and encrypted PostgreSQL database infrastructure provided by Neon Inc.

These providers may be involved in the maintenance, security and proper functioning of the site.

OMOLEMBA INTERNATIONAL retains personal data for a period strictly necessary in light of the purposes for which it is processed, in accordance with applicable regulations. The retention periods are as follows:

• Contact requests: 3 years from the last exchange;
• Newsletter subscription: until unsubscription or 3 years after the last contact;
• Volunteer applications: 2 years after the last contact with the applicant;
• Partnership requests: 3 years after the end of the contractual relationship or last contact;
• Technical connection data: 12 months maximum;
• Accounting documents and supporting evidence: 10 years in accordance with the Commercial Code.

In accordance with the amended French Data Protection Act of 6 January 1978 and the General Data Protection Regulation (GDPR - EU Regulation 2016/679), any person proving their identity has the following rights:

• Right of access (Article 15 GDPR): obtain confirmation as to whether or not your data is being processed and receive a copy;
• Right to rectification (Article 16): have inaccurate or incomplete data corrected;
• Right to erasure (Article 17): request the deletion of your data in the cases provided for by law;
• Right to restriction of processing (Article 18): temporarily restrict the use of your data;
• Right to object (Article 21): object to the processing of your data, particularly for marketing purposes;
• Right to data portability (Article 20): receive your data in a structured and readable format;

In accordance with Article 32 of the GDPR, OMOLEMBA INTERNATIONAL implements all appropriate technical and organizational measures to guarantee the security and confidentiality of personal data, and in particular to prevent it from being distorted, damaged, lost, misappropriated, disclosed to unauthorized third parties or unlawfully accessed.

These measures include encryption of data in transit (HTTPS), strict access control to databases, rigorous selection of subcontractors, and awareness-raising among our teams on best practices for data protection.

The site exclusively uses technical cookies strictly necessary for its proper functioning, browsing security and language display. These cookies are not subject to the collection of prior consent.

Audience measurement (analytical) cookies may be implemented later to analyze site traffic and improve its content.
